Description
The Manager of IT Vendor Management Operations plays a pivotal role in ensuring operational excellence, governance, and efficiency across all IT vendor-related workstreams. Reporting directly to the Director of IT Vendor Management Operations, this position serves as a key partner in executing the day-to-day management and improvement of vendor management workstreams, with a focus on implementing and maintaining operational processes that align with organizational goals.
This role requires hands-on expertise in managing critical operational areas, including financial management, performance (SLA) tracking, contract compliance, third-party resource management, and developing actionable data-driven insights for decision-making. The Manager will work to standardize processes, ensuring compliance with internal policies, regulatory requirements, and contractual commitments while optimizing workflows to reduce inefficiencies.
Leveraging Project Management best practices, the Manager will lead initiatives to identify and implement continuous improvement opportunities, automating repetitive tasks and enhancing process quality. This role also demands a high level of collaboration with IT and business stakeholders to ensure alignment and the effective delivery of vendor-related services.
The successful candidate will have deep knowledge of IT Vendor Management Office (VMO) workstreams and demonstrate the ability to execute operational plans, track and manage key metrics, and drive initiatives to improve vendor performance and governance. This includes overseeing the daily performance of internal teams and third-party vendors, ensuring deliverables are met, resources are effectively managed, and escalations are handled promptly. The ideal candidate is a results-driven professional with the ability to conceptualize, plan, execute, and optimize operational strategies in a technology-focused environment. This individual should bring a combination of hands-on experience, thought leadership, and collaborative skills to effectively manage IT Vendor Management operations.

Key Responsibilities:
Process Implementation & Optimization
Implement and maintain standardized vendor lifecycle management frameworks, ensuring alignment with organizational goals from vendor selection, onboarding, performance monitoring, vendor development, to offboarding.
Execute policy and procedure frameworks to establish clear guidelines for vendor engagement, performance tracking, and issue resolution.
Develop and manage operational workflows for recurring vendor tasks, incorporating automation solutions to reduce manual effort and improve efficiency.
Assist in establishing and maintaining a data and analytics framework that delivers actionable insights into key performance indicators (KPIs) and vendor metrics for stakeholders.
Use Lean Six Sigma methodologies to implement process improvements that eliminate inefficiencies and deliver measurable results.
Collaborate with cross-functional teams to align processes with organizational goals, ensuring streamlined reporting and operational transparency.
Compliance & Governance Execution
Establish and enforce adherence to internal IT VMO Policy and Procedure Frameworks, ensuring consistency in vendor management practices across all teams and third-party providers.
Manage the execution of governance frameworks to ensure compliance with contractual commitments, internal standards, and regulatory requirements.
Monitor and audit vendor lifecycle processes, from onboarding through offboarding, identifying and addressing risks proactively.
Maintain comprehensive documentation and reporting to support transparency, regulatory audits, and governance reviews.
Partner with legal, procurement, and risk teams to ensure operational processes align with broader compliance requirements.
Operational Oversight & Vendor Performance Management
Oversee the execution of Vendor Lifecycle Frameworks, ensuring effective management of vendor activities from selection to contract closure.
Ensure third-party vendors meet service level agreements (SLAs) and adhere to performance benchmarks, managing escalations and corrective actions as needed.
Execute structured performance reviews with vendors, leveraging data and analytics to evaluate outcomes and identify opportunities for improvement.
Collaborate with vendors and internal stakeholders to optimize resource allocation, balancing workloads across teams and addressing capacity challenges.
Act as the key operational liaison with third-party providers, fostering accountability and alignment with organizational objectives.
Identify gaps in vendor lifecycle management practices and recommend adjustments to improve performance and compliance outcomes.
Minimum Requirements
Typically requires 10+ years of relevant experience. Less years required if has relevant Master’s or Doctorate qualifications.
Critical Skills
Familiarity with Service Operations, Technology Delivery, and IT Vendor Management frameworks is essential.
5-8 years of relevant work experience in IT Vendor Management, including prior experience managing service providers and outsourcing contracts.
Proven experience in vendor lifecycle management, including selection, onboarding, performance management, and offboarding.
Demonstrated program management expertise, with a track record of successfully managing complex, cross-functional initiatives.
Hands-on experience with procurement and operations in a technology environment, supporting both strategic sourcing and operational excellence.
Deep understanding of SLAs, performance measures, benchmarking processes, and techniques for continuous improvement.
Ability to effectively manage large initiatives, integrating cross-departmental goals into a cohesive strategy.
Proven experience in leading change management initiatives with a focus on service delivery, process improvement, and financial outcomes.
Demonstrated ability to develop and manage reporting frameworks that provide actionable insights for decision-making.
Strong understanding of tools and systems supporting IT Vendor Management, including contract management, SLA tracking, and reporting platforms.
