This SAA position is required to be onsite in the Mississauga Meadowvale office or Milton on an ad hoc basis.
Responsibilities
Take ownership in creating social media posts within the department.
Create presentations within PowerPoint for status updates and other reports..
Manage and maintain the VP's Outlook calendars, taking into account long-term planning and anticipation of key events, along with strategic blocking of time for critical planning and work activities.
Arranging meetings and appointments between external or internal contacts; ensure meeting agendas and materials are received or issued with the appropriate lead times for review
Ensure the VP is well informed regarding their schedule and travel, and work proactively to ensure that all supporting documentation is gathered and provided in advance so that they are fully prepared
Work collaboratively with EA’s from other departments to ensure executive calendars and meetings are well coordinated
Support the inbox and communications, both internal and external
Scheduling meetings for leadership team. On occasion attending meetings and taking minutes.
Arranges travel, hotel, and car reservations and prepare itinerary, both US and domestic to ensure time and cost effectiveness. Work proactively to ensure all supporting documentation is gathered and provided in advance so that the VP is fully prepared
Take ownership of and follow up on key reoccurring tasks to support the VP and their teams
Play a key role in the professional delivery of critical documents of the Senior Leadership Team by preparing presentations, proof reading, editing formatting, and translating
Monitor, respond to and track information requests received from stakeholders via email and phone
Provide administrative support to the VP and designates (e.g., faxing, writing correspondence and other documents, entering documents into templates)
Management and approval of expense reports
Receive incoming mail, directly issued or forwarded, taking notice of required actions and due dates to ensure timeliness of response and required actions for the VP
Set up and coordinate meetings and special event logistics (e.g., venue selection, catering, technical requirements, registration, hotel, and travel arrangements); provide support to ensure the smooth operation of the meeting or special event
Coordinate travel for VP
Support the administrative functions around new employee onboarding
Act as a liaison with other SAA’s and teams, including being a back up to other SAA’s in the department as required
Other duties as assigned
Requirements
Completion of a post-secondary diploma or degree in Administration
Minimum five (5) years administrative experience
Exceptionally organized with superior attention to detail
Excellent computer skills including all MS Office suite of products (Microsoft Outlook, Word, PowerPoint, Excel, Visio, and Teams) and videoconferencing applications
Excellent written and oral communication skills
Ability to manage multiple projects/timelines, able to work various priorities simultaneously
Ability to effectively prioritize and escalate issues as required
Display a high level of critical thinking
Demonstrated business professionalism, respect for confidentiality, and appropriate handling of sensitive information
Ability to set priorities, to act decisively and to exercise a high degree of initiative, diplomacy and
Ability to support senior leaders in multiple locations
Availability to work remotely as well as in in a busy, open area office which may result in interruptions.
Capacity to work both independently and as a strong team player, demonstrating flexibility, adaptability, and responsiveness

In addition to base pay, other compensation, such as an annual bonus or long-term incentive opportunities may be offered.
Our Base Pay Range for this position
