Position Summary

McKesson is seeking a Senior Administrative Assistant in the Western US to support our Community Pharmacy & Health group! The ideal candidate will be based in California, Washington, Oregon, Montana, Utah, Arizona, Nevada, New Mexico, Idaho and/or Texas

The Sr. Administrative Assistant will provide multi-leader VP-level support across the Western Region for McKesson's Community Pharmacy & Health, Health Mart, and Health Systems. Directly reports to AVP of Community Pharmacy & Health West Region.

Key Responsibilities

Provide support to VPO/AVPs

  • Provide administrative support to VPs on a daily basis, ensuring important tasks and reminders are addressed, with accuracy and confidentiality.

  • Coordinate and manage all travel and expense reporting.

  • Be a liaison for all correspondence that may come in for the VP.

  • Assist in developing and updating monthly and ad-hoc reports.

  • Assist in collecting, analyzing and formatting data for ad-hoc reports.

  • Assist in collecting data necessary for Performance Evaluations.

  • Assist in managing and tracking compliance.

  • Create and review presentations for internal and external meetings.

  • Coordinate and assist with the opening of new distribution centers and or other CDx needs.

  • Maintain Global Distribution Lists for CPH West Area and possibly MHS and CDx.

Support Area Sales and VP Direct Reports

  • Assist with administrative functions, including internal and external meeting presentations, ad-hoc reports, etc.

  • Assist with on-and off-site meeting sourcing, planning and execution.

  • Coordinate travel plans for direct reports and super flyaways on an as-needed basis.

General Management

  • Assist Regional, Sales and/or DC staff on an as-needed basis (if approved by VPO/AVP).

  • Assist with general office management including, but not limited to office supplies, kitchen/cafeteria supplies and ordering of staff meals if asked by any VPs.

  • Request and follow up on charitable contributions for CPH. MHS and/or CDx.

Development

  • Utilize exposure to other segments/business units to further expand McKesson's knowledge on a national scale.

  • Continue to take training, read, and listen on Community Pharmacy, Health Mart, MHS and CDx.

Minimum Requirements

  • Typically requires 5+ years of related experience

  • Advanced skills in MS Office Word, Outlook, Excel, PowerPoint, Access, SharePoint and Teams

  • Ability to anticipate activities and take proactive action with little or no direction

  • Strong time management and prioritization skills

  • Ability to work on multiple tasks with demanding or competing deadlines

  • Exceptional interpersonal and communication (oral and written) skills

  • The ability to use automated office equipment, follow difficult instructions, and maintain written records

  • Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions

  • Excellent attention to detail and organization skills

  • Uses discretion and maintains a high level of confidentiality

Additional Knowledge & Skills

  • Possess a strong understanding of office procedures and practices.

  • Must be able to multi-task while remaining flexible, with attention to detail and have the ability to meet deadlines with minimal supervision.

  • Must possess strong organizational skills for the efficient and successful handling and management of multiple projects.

  • Ability to assess circumstances and problem solve with minimal supervision, exercising common sense and diplomacy. 

  • Proficient in written communications including clear and concise writing, editing for spelling and grammar, and an ability to interpret information. 

  • Must be dependable, timely, have a positive attitude, and have teamwork ethic.

  • Meticulous attention to detail with the ability to compose professional correspondence.

Education

  • High school diploma
